Introduction

Once pricing, supplier assignment, and validations are complete, the next step in the quoting process is generating a customer-facing document.

Export Quote in StrataVAR PqW allows you to:

  • Generate a PDF or Excel version of the quote
  • Apply a selected PqW Template
  • Control which sections appear in the exported document
  • Share a structured, formatted proposal with the customer

This article explains how to export a quote, available options, and behavior differences between Standard and Maintenance Quotes.


Where Export Quote Can Be Accessed

Export Quote can be accessed from two locations:

Option 1: From Quote Details Page

Navigate to:

  • Quote detail page → Action Dropdown
  • Select Export Quote Option to open Export window

Option 2: From PqW Console (Edit Quote Grid)

  • If the Quote is in editing mode, click on export tab from the top menu ribbon

Both options open the same Export Quote configuration screen.


Understanding the Export Quote Screen

When the Export Quote screen opens, you will see:

1. Quote Information Section

  • Quote Number
  • Quote Name
  • Quote Version
  • Last Modified Date

This confirms the quote you are exporting.

2. PqW Template (Required Field)

PqW Template determines the layout and format of the exported document.

To select a template:

  • Click the Lookup icon next to the PqW Template field
  • Search for the required template
  • Select the appropriate template (e.g., Standard Export Template)

The selected template defines branding, formatting, grouping display, totals layout, and customer-facing structure.

 

3. Output Format Options

You can :

  • Create Excel
  • Create PDF

Both options can be selected together if required.

The choice depends on company or customer requirements.

4. Optional Rows Section

This section controls which additional sections appear in the exported document.

Available options may include:

  • Item Note
  • Quote Notes
  • Signature
  • Payment Term
  • Group Details
  • Item Type Price Breakdown
  • Box Details
  • Subscription Item Level Details

Selecting or deselecting these checkboxes determines what appears in the final document.


Step-by-Step Process: Exporting a Quote

Step 1: Open Export Quote

From either:

  • Quote Details → Action Dropdown → Export Quote
    OR
  • PqW Console → Export Quote

The Export Quote screen opens.


Step 2: Select PqW Template

  • Click the lookup icon next to PqW Template
  • Search for the required template
  • Select the appropriate active template

Ensure the correct template is selected before proceeding.


Step 3: Select Output Format

Choose one or both file options to export using the checkbox.

  • Create PDF
  • Create Excel

Step 4: Configure Optional Rows and Columns

Review the Optional Rows section and select or deselect sections based on:

  • Customer requirements
  • Internal proposal standards
  • Whether grouping or subscription breakdown needs to be visible

Step 5: Generate Export

After confirming all selections:

  • Click the Export / Generate button (as per configuration)
  • The system generates the file.

You can then download and share it with the customer.


Standard Quote vs Maintenance Quote Behavior

The export process applies to both Standard and Maintenance Quotes, but behavior differs at the grid level prior to export. You can identify the Quote type using Record Type field in Quote Details.

Standard Quote

Edit Quote Grid shows:

  • Priced items
  • Zero-priced items
  • Supports inline editing (double-click to modify line values)
  • Export includes all visible structured items (based on template settings)

Maintenance Quote

Maintenance quotes (e.g., CCW-R imports) behave differently:

  • Edit Quote Grid shows only priced items
  • Inline editing is not allowed
  • Changes must be made using bulk update options
  • Maintenance quotes may contain very large item volumes

Export behavior remains similar, but item visibility in grid differs prior to export.


Related Objects After Export 

In certain workflows (e.g., Tier 2 jobs), background processes such as BQM (Batch Queue Manager) may:

  • Create related BoMs
  • Create related Quotes (e.g., SMS and Detailed)

Once job status shows Completed, related records become visible. These related quotes can also be exported individually using the same Export Quote process.


When to Use Export Quote

Use Export Quote when:

  • Pricing is finalized
  • Supplier and Ship To assignments are completed
  • Customer-ready documentation is required
  • You need formatted output aligned with template standards
  • You need both Excel (working format) and PDF (presentation format)

Best Practices Before Exporting

Before generating the export:

  •  Confirm Quote Status
  • Verify pricing accuracy
  • Validate supplier assignments
  • Confirm Ship To assignments (if applicable)
  • Ensure correct PqW Template is selected
  •  Review Optional Rows settings

This prevents rework and multiple export iterations.
