Introduction

In PqW, you can now create new aggregated views of an existing CCW-R Detailed Quote without re-importing the BoM from Cisco. This feature lets you change how quote items are grouped — by Part Number, Description, Enterprise SKU, Grouping, or other parameters — and generate a fresh aggregated quote in just a few clicks.

This article explains:

  • What prerequisites must be in place before creating a new aggregated quote

What Is Change CCW-R Quote Aggregation Without Re-Importing and When Is It Required?

Change CCW-R Quote Aggregation Without Re-Importing is required when:

  • A CCW-R Detailed Quote has already been imported into PqW from Cisco
  • You need to view the same quote data aggregated differently (e.g., grouped by Part Number, Enterprise SKU, Service Type, or a custom combination)
  • You want to compare multiple aggregation views of the same underlying CCW-R data side-by-side
  • The original aggregation chosen during BoM import no longer suits your reporting or customer presentation needs
  • You want to avoid the time, risk, and duplication of re-importing the BoM from Cisco just to change how items are grouped

How Aggregation Changes Were Done Before This Feature

Without this feature, changing the aggregation of an already-imported CCW-R quote required:

  1. Going back to the Import BoM page in PqW.
  2. Re-importing the same CCW-R Quote from Cisco — triggering a full Gateway API call.
  3. Selecting different aggregation parameters during import.
  4. Waiting for the entire batch import process to complete (which can take significant time for large quotes).
  5. Ending up with a duplicate Detailed Quote and BoM in PqW for the same Cisco source data — cluttering your records and creating confusion about which is the "true" version.

This approach was time-consuming, created duplicate data, risked inconsistencies between the two imports if Cisco data changed in between, and consumed unnecessary Gateway API calls.

What This Feature Does Differently

The Change CCW-R Quote Aggregation feature eliminates the need to re-import by allowing you to:

  • Generate new aggregated views directly from the existing CCW-R Detailed Quote — no Gateway call to Cisco
  • Select custom aggregation parameters (Part Number, Description, Enterprise SKU, Grouping, Service Type, Site ID, and more) for each new aggregated view
  • Process asynchronously — continue working while the system creates the new aggregated quote in the background
  • Receive email notification with a direct link when the aggregated quote is ready
  • Maintain all aggregated versions in one place via the new Associated Aggregated Versions related list on the Detailed Quote
  • Automatically manage Active/Inactive status — the most recently created aggregated quote is marked Active, and previous versions are automatically marked Inactive
  • Pre-select parameters when creating from an existing aggregated quote (so you can tweak settings rather than starting from scratch)

Prerequisites

Before you can create a new aggregated quote, the following must be in place:

  • A CCW-R Detailed Quote must already exist in PqW: The Detailed Quote must have been imported via the Import BoM process with Source = CCW-R Quote. If you only have a CCW-R Invoice-based quote (Tier 2), this feature is not available.
  • The Detailed Quote must not be a discrete renewal quote or standard quote: The Create Aggregated Quote button is only visible on CCW-R Detailed Quotes (and on existing Aggregated Quotes). It is hidden on unsupported quote types.
  • The Detailed Quote must not be in active editing/refresh: While the system does not block edits to the Detailed Quote during aggregation processing, it is your responsibility to ensure the Detailed Quote is not being refreshed or modified at the same time you trigger aggregation, to avoid inconsistent results.
  • You must know which aggregation parameters you want: Decide in advance which fields you want to group by (e.g., Part Number, Enterprise SKU, Grouping). You can select multiple parameters in a specific order, and the system will group items accordingly.
  • Valid email address on your user record: Since aggregation runs asynchronously, you will receive a completion notification by email. Ensure your Salesforce user email is correct.

Step-by-Step: Creating a New Aggregated Quote from a Detailed Quote

Step 1: Open the CCW-R Detailed Quote

  1. Navigate to the CCW-R Detailed Quote in PqW (e.g., QT-000001074).
  2. Verify the Quote's Record Type is CCW-R Detailed Quote.

Step 2: Click "Create Aggregated Quote"

  1. On the Quote header, click the Create Aggregated Quote button.
  2. A dialog opens prompting you to select your Aggregation Parameters.

Step 3: Select Aggregation Parameters

Choose which fields you want to group items by. Available parameters include: Part Number, Description, Enterprise SKU, Grouping, Service Type, Site ID etc.

You can select multiple parameters in order (e.g., 1st: Part Number, 2nd: Enterprise SKU, 3rd: Service Type, 4th: Site ID). The system will group items hierarchically based on the order you select.

Note: When creating from a Detailed Quote that was imported without aggregation, the defaults for Part Number and Description display will be "Do not Display". Adjust as needed.

 

Step 4: Confirm and Submit

  1. Review your selected parameters.
  2. Click Submit (or Create) to start the aggregation process.
  3. A confirmation message appears indicating the process has started in the background.

Step 5: Wait for Completion

  1. The aggregation runs asynchronously — you can continue working in PqW.
  2. You will receive an email notification when the new aggregated quote is ready, with a direct link to open it.
  3. If you choose to cancel the process before completion, you will see a confirmation message warning you that the aggregation will be aborted.

Step-by-Step: Creating a New Aggregated Quote from an Existing Aggregated Quote

If you want to create a new aggregated view based on the parameters of an existing one (with small tweaks), you can start from the existing Aggregated Quote instead:

  1. Open the existing Aggregated Quote (e.g., QT-000001075-AGG).
  2. Click the Create Aggregated Quote button.
  3. The aggregation parameter selection dialog opens with the current quote's parameters pre-selected.
  4. Modify the parameters as needed and click Submit.
  5. The system always uses the Detailed Quote as the source for the new aggregation — even though you triggered it from an Aggregated Quote. This ensures the source data is consistent.

Viewing All Aggregated Versions: Associated Aggregated Versions Related List

The Detailed Quote page now includes a new related list called Associated Aggregated Versions, which shows every aggregated quote ever created from this Detailed Quote.

The Related List Shows:

Column Description
Aggregated Quote Name The name/ID of the aggregated quote (clickable to open the record).
Active

Checkbox indicating whether this is the currently active aggregated quote.

Aggregation Fields

The parameters used to create this aggregated version.

Created Date

When this aggregated version was generated.

How to Use It

  1. Click any Aggregated Quote Name to open that specific aggregated version.
  2. Compare multiple versions side-by-side by opening them in separate tabs.
  3. Identify the currently Active version at a glance using the Active flag.

Active vs. Inactive Aggregated Quotes

PqW automatically manages the Active/Inactive status of aggregated quotes:

Status When It's Applied
Active The most recently created aggregated quote is automatically marked Active.
Inactive All previously created aggregated quotes from the same Detailed Quote are automatically marked Inactive when a new aggregated quote is created.

This ensures there is always exactly one Active aggregated quote per Detailed Quote, while preserving older aggregated versions for reference.


Combined Renewal Export

When exporting renewals, the refactored multi-quote export page now exports both:

  • The CCW-R Detailed Quote, and
  • The latest active Aggregated Quote

…in a single combined export. You no longer need to export them separately.


Email Notifications

You will receive email notifications at key points:

On Success:

Subject: Aggregated Quote Created – <Quote Number>

"Your aggregated quote has been created successfully."

Includes a direct link to the newly created Aggregated Quote.

On Cancellation:

A confirmation message appears in the UI before cancellation is finalized.

Note: Async failure email scenarios on aggregated quote import are currently a known limitation under testing.


Important Rules and Best Practices

The Detailed Quote is always the source. Even when you trigger aggregation from an existing Aggregated Quote, the system uses the Detailed Quote as the data source — never another aggregated quote. This guarantees data consistency.

  • Do not edit the Detailed Quote during async aggregation. The system does not block edits, but editing the Detailed Quote while aggregation is processing may produce inconsistent results in the new aggregated quote. Wait for the email notification before making changes.
  • Older aggregated versions are preserved. Previous aggregated quotes are marked Inactive but not deleted. You can still reference, export, or compare them at any time.
  • Feature scope is CCW-R only. The Create Aggregated Quote button will not appear on Standard quotes, Discrete Renewal quotes, GDT quotes, or CCW-R Invoice quotes.
  • Pre-selection helps speed up iteration. When creating from an existing Aggregated Quote, the parameters are pre-filled — modify only what's needed instead of re-entering everything.
  • Cancellation is supported. If you trigger aggregation by mistake or change your mind, you can cancel during processing. A confirmation message will appear before the cancellation is finalized.
