Introduction

This article walks you through the process of using the Assign Contracts to Project console in Renewal Manager. As a Renewal Manager, you’ll identify Internal Contracts (ICs), group them into Renewal Projects, and assign them to Renewal Engineers for execution.

Renewal

In the VAR ecosystem, Renewal refers to the process of extending maintenance contract to continue service coverage for hardware or software.

This typically involves reviewing expiring contracts, creating asset lists for customers to approve, preparing list of assets/services to be priced, and initiating quoting process for services like:

Cisco SmartNet maintenance contracts

Managed service subscriptions etc.

 

The renewal process ensures uninterrupted service, and allows for co-terming, identify potential product upgrades, or request for change in service levels.

Renewal Manager Oversees and initiates the renewal process by organizing and assigning ICs.
Internal Contract (IC) An Internal Contract stores asset details of customer contract.
Renewal Project A group of ICs from the due for same customer grouped to manage renewals
Renewal Engineer The team member responsible for driving the actual renewal execution.
Assign Contracts to Project Console A workspace to filter, review, and group Internal Contracts into Renewal Projects and manage assignment of ICs to renewal project and renewal engineer
Renewal Dashboard A visual reporting tool used to identify contracts due for renewal.
 Account Family A group of related customer accounts (for example, parent and child accounts) that are treated as one logical customer group for renewal planning in PrW. In this console, ICs are added to Renewal Projects for a single account at a time, but later steps (such as Asset Lists and Pricing Requests) can work across related accounts within the same Account Family.

Ways to Access Assign Contracts to Project Console 

After identifying renewal opportunities using the dashboard, your next task as a Renewal Manager is to take action on those contracts by adding them to Renewal Projects. This step marks the transition from analysis to execution and enables a structured handoff to Renewal Engineer.

You can open the Assign Contracts to Project console in two ways:

From the Dashboard
Click on a chart slice, such as “AB Partners,” in the Contracts Due for Renewal chart. This opens the console with filters already applied—like Account and Renewal Date—based on the chart slice. This lets you view ICs within the context of the dashboard.

From App Launcher
Open the console manually by using the App Launcher. Here, you can filter ICs using various criteria such as:

  • Account Name
  • Stage
  • Assigned to Project
  • Renewal Date (e.g., next 60 days).

This approach is especially helpful when managing renewals outside the scope of dashboard charts.


Console Overview and Structure

When the console opens, it’s structured as follows:

Filter Bar at the top, where you can refine results by Account, Renewal Date, Project Assignment, or Stage.

Main Grid that displays grouped ICs under each customer. Each row shows:

  • Manufacturer: The vendor or provider that issued the contract, such as Cisco or ARIBA.
  • Contract Number: A unique identifier assigned to the customer’s original contract.
  • IC Name: The name or ID of the Internal Contract record tracked within the system.
  • Renewal Date: The date on which the contract is due for renewal.
  • Number of Assets: The total count of hardware or software assets linked to the contract.
  • Renewal Project name (if any): The Renewal Project to which the Internal Contract is currently assigned.
  • Assignee: The user (typically a Renewal Engineer) responsible for processing the renewal.

Action buttons in the top-right corner allow you to perform key operations on selected Internal Contracts.

Common actions include:

  • Add to Renewal Project : Group selected ICs into a Renewal Project and assign them to a Renewal Engineer
  • Export: Download contract data for offline review or sharing
  • Refresh: Reload the latest data in the console

These actions help you move from reviewing contracts to organizing and assigning them for execution.

ICs that are already part of a project display the project name and assignee. ICs that haven’t been added yet show blank fields.


Step by Step: Adding ICs to a Renewal Project

To add Internal Contracts (ICs) to a Renewal Project and assign a Renewal Engineer, following steps need to be taken care of.

Step 1: Select Internal Contracts 

Use the checkboxes in the console to select one or more ICs you want to add to a Renewal Project. 

Important: ICs must typically belong to the same customer account. If Account Family is enabled in your environment, you may also include ICs from related accounts within the same Account Family in a single Renewal Project. In this case, the related account is selected inside the Add to Renewal Project dialog — the console list continues to show contracts for the account you selected in the filter.

 

Step 2: Add Selected ICs to the Renewal Project

Click on the Add to Renewal Project button. A dialog box opens where you can create a new project or add to an existing one.

Tip: You can also use inline edit in the Renewal Project Name field to quickly associate an IC with an existing project. If Account Family is enabled and you have selected multiple contracts, inline edit may be restricted — use the Add to Renewal Project button instead.

 

Step 3: Select New or Existing Project

 In the dialog box, choose one of the following 

  • Create a new project: Enter a project name. The project is assigned to you by default. Select the appropriate Renewal Engineer from the dropdown and click Save.
  • Add to an existing project: Select an existing project from the dropdown and click Save.

Step 4: Confirm the Assignment

 Once saved, the project name and assigned users appear in the respective fields on the IC record. The assigned Renewal Engineer receives a notification and can track the project through the Renewal Engineer Dashboard and Console.


Summary

In this step, you transitioned from identifying potential renewals to organizing them into actionable projects. By using the Assign Contracts console, you've laid the groundwork for successful execution by the Renewal Engineer.


What's Next

Now that your Renewal Project is created and assigned, it appears in the Renewal Project Console under the Assigned stage. You can view the Renewal Project Console for that project by clicking on arrow besides Renewal Project Name.

Further, the assigned Renewal Engineer will proceed with:

  1. Reviewing Asset Lists
  2. Customer approvals
  3. Submitting pricing requests
