Introduction

Once a Renewal Project is created and assigned to a Renewal Engineer, the Renewal Manager continues to oversee the renewal lifecycle.
This stage allows managers to review active projects, monitor their progress, re-assign users if needed, and ensure the correct contracts are part of each project.

From this console, Renewal Managers can also drill into Internal Contract (IC) details and track progress through subsequent stages — including Asset Lists and Pricing Requests — without directly performing engineer-level actions.

In this article, you’ll learn how to:

  • Navigate and filter the Renewal Project Console
  • Understand grouping and hyperlinks for project insights
  • Take actions such as Re-Assign User, Add Internal Contracts to Renewal Project, and Track the progress of each stage such as asset list and pricing request
  • Monitor progress across related consoles (IC, AL, PR)

In the previous video, you learned how Renewal Managers create and assign Renewal Projects to Renewal Engineers.

Term Definition
Renewal

In the VAR ecosystem, Renewal refers to the process of extending, maintenance contract to continue service coverage for hardware or software.

This typically involves reviewing expiring contracts, create asset lists for customers to approve, prepare list of assets/services to be priced, and initiate quoting process for services like:

Cisco SmartNet maintenance contracts

Managed service subscriptions etc

 

The renewal process ensures uninterrupted service, and allows for co-terming, identify potential product upgrades, or request for change in service levels.

1. Navigating and Reviewing Renewal Project Console 

You can access Renewal Project Console by clicking on the arrow besides renewal project name within the Assign contracts console. This will open the console containing the specific renewal project details only. Alternatively, click on Renewal Project tab on the tabs section to land to console which contains all the renewal projects under the accounts due for renewal.

The Renewal Project Console provides an overview of all active renewal projects.

Use server filters such as Assignee or Stage to quickly narrow down the list.

Apply column filters on fields like Expiration Date or Number of Assets to focus on projects that are due soon or have large volumes.

Records are grouped by Assignee → Stage → Renewal Project, making it easier to prioritize.

Each Renewal Project Name is hyperlinked to its detail page, giving you quick access to project-level information.


2. Adding or Removing Contracts from Renewal Project

Within this console, you can manage how contracts are grouped into projects:

Add IC to RP → Move a selected Internal Contract into another Renewal Project.

This ensures contracts are aligned with the right project and Renewal Engineer.

Each Internal Contract (IC) number is hyperlinked, opening its detail page.
The arrow beside the IC takes you to the IC Console, filtered to show only that specific IC.


3. Re-Assigning Renewal Project to Different User

If a Renewal Project needs to be reassigned:

Select the project row.

Choose Reassign User from the actions menu.

Assign the project to a different Renewal Engineer.

This helps balance workload and ensures no renewal deadlines are missed.


4. Taking Actions Based on Renewal Status

Projects move through different stages like Assigned, In Progress, or Completed.
The individual internal contract and items further move through different stages in renewal journey.
As a Renewal Manager, you can:

Review project and contract data.

Oversee approvals or request modifications before projects progress further.

  • Ensure timely action by engineers on contracts close to expiration.

    You can view individual contract details and the items under specific contract in IC Console. Further, you can check the progress through Asset List and Pricing request consoles to review where we stand in renewal process.

    Also note that the key navigation points in console are as follows:
  • Project Name → Opens project details page.
  • IC hyperlink → Opens the IC detail page.
  • Arrow beside IC → Opens IC Console filtered for that IC.

The Renewal Manager can oversee progress across:

IC Console – review contracts

Asset List Console – monitor asset grouping

Pricing Requests – track quote preparation

While these actions are primarily handled by Renewal Engineers, managers have oversight and can intervene if required.
