Introduction

Once pricing, supplier assignment, and validations are complete, the next step in the quoting process is generating a customer-facing document.

Export Quote in StrataVAR PqW allows you to:

• Generate a PDF or Excel version of the quote
• Apply a selected PqW Template
• Control which sections appear in the exported document
• Share a structured, formatted proposal with the customer
• Export multiple related PqW Quotes into one combined Excel/PDF (Multiple Export Quote), where each quote is exported into its own worksheet(s), depending on the template

This article explains how to export multiple quotes together using the refactored Export Quote experience — including how to enable Multi mode, select additional quotes, configure the export, and understand the underlying rules and limitations introduced as part of the refactoring effort.

What Changed with Refactoring?

The Export Quote screen was refactored to support multi-quote selection within the same dialog, replacing the earlier approach where each quote had to be exported individually and merged manually.

When to Use Multiple Export Quote

Prerequisites

Before exporting multiple quotes together, ensure the following:

• Quotes are in exportable state: Pricing is finalized, supplier and Ship-To assignments are complete
• PqW Template supports multi-quote: The template must have SupportMultipleQuotes = checked/true. Templates without this will show an error if used in Multi mode
• Additional quotes exist: At least one other quote must be available under the same Account or Opportunity for multi-selection to be useful
• Total item count ≤ 45,000: The combined total of quote items across all selected quotes must not exceed 45,000 item

Understanding the Refactored Export Quote Screen

To export the quote, click on the Export Quote button in the Quote details page. It will open the Export Quote dialog box as shown.

When the Export Quote screen opens, it defaults to Single mode. To enable multiple export quotes, toggle the Export Mode switch.

1. Quote Information (Header): The dialog title confirms the quote you opened export from. Example, Quote Number and Version — e.g., Export Quote | QT-000000230 (v1)
2. Select Other Quotes to Export (Multi Mode Only): When Export Mode is set to Multi, a quote selection panel appears with the following controls.
   • Filter Toggles:

• A text label indicates filtering context — e.g., “Additional Quotes (Showing only Standard Quotes)”
• A Search PqW Quotes text field allows searching for quotes by Quote Number or Quote Name. Matching quotes appear in a list and can be clicked to add them to the Selected Quotes area
• Selected Quotes: Displays all quotes selected for export (Main Quote is always listed first)
• Drag to reorder — the order here determines the worksheet order in the exported file
• Click 'x' to remove — any added quote can be removed, except the Main Quote (the Main Quote does not have a remove option, or if attempted, a blocking dialog will appear)

Increase Quote Version

In Multi mode, this applies to the Main Quote. Version increment for all selected quotes may be supported depending on configuration.

File Types (Single Mode)

When in Single mode, the File Types section appears:

• Create Excel
• Create PDF

Both can be selected simultaneously.

Optional Rows and Optional Columns (Single Mode)

When in Single mode, these sections allow fine-grained control of what appears in the exported document:

• Total List Price
• Payment Term

• Unit List Price
• Extended List Price
• Customer Discount %

Step-by-Step: How to Export Multiple Quotes

Step 1: Open Export Quote

1. Open the Quote details page of the required quote
2. Select the Export Quote button on the action toolbar

Step 2: Enable Multi Mode

1. Locate the Export Mode toggle at the top of the dialog
2. Click the toggle to switch from Single to Multi
3. The toggle turns blue and the label changes to Multi and the quote selection panel appears

Step 3: Filter and Search for Additional Quotes

Use the filter toggles to narrow the list:

• Turn ON Current Account to see only quotes from the same account
• Turn ON Opportunity to limit to quotes under the same opportunity
• Turn ON Active to show only active quotes
• Use the Search PqW Quotes field to search by quote number or name
• Click on a quote from the results to add it to the Selected Quotes area

Step 4: Review and Reorder Selected Quotes

The Selected Quotes section lists all quotes to be exported.

1. The Main Quote is always present and cannot be removed. 
2. Drag quotes to reorder them — this order determines the worksheet order in the exported file
3. Click the 'x' next to any added quote to remove it

Step 5: Select PqW Template

1. Click the Template lookup field
2. Search for and select a template that supports multi-quote export
3. Ensure the selected template has SupportMultipleQuotes enabled

Step 6: Configure Increase Quote Version

• Select No (default) to export without version change.
• Select Yes to increment the quote version.

Step 7: Export

1. Click the Export button.
2. The system generates the combined document. Each selected quote is exported into its own worksheet(s), following the order in the Selected Quotes list.
3. Download the generated file and share it with the customer.

Rules and Behavior of Export

Main Quote Cannot Be Removed

The quote from which the Export Quote screen was launched is the Main Quote. It is always included in the Selected Quotes list and cannot be deselected or removed. If a user attempts to remove it, a blocking dialog will appear.

Maximum Limits

• Maximum quotes per export is 10
• Maximum total quote items across all quotes is 45,000. If the total item count exceeds 45,000, the export may fail or not process.

Worksheet Ordering

The order of worksheets in the exported Excel file matches the order of quotes in the Selected Quotes area. Drag-and-drop to reorder before exporting.

Sheet Name Length

Excel enforces a 31-character limit on worksheet names. If a quote name exceeds this limit, it will be truncated in the exported file.

Template Must Support Multi-Quote

Only PqW Templates with SupportMultipleQuotes enabled can be used in Multi mode. If an unsupported template is selected, the system displays:

"This template does not support export for multiple quotes"

Async Export for Large Datasets

For large multi-quote exports, the system may process the export asynchronously. In this case:

• The export runs in the background
• The user receives an email notification upon completion (success or failure)
• The exported file is attached to the relevant Quote record(s)
