How to Review Assigned Subscription Projects
Learn how renewal engineer analyze dashboard charts and take actions on subscriptions due for renewal
Introduction
As a Renewal Engineer (RE), your workflow in the PrW Subscription module begins at the Subscription Renewal Dashboard.
This dashboard provides a personalized view of only those subscription renewal projects that have been assigned to you by the Renewal Manager.
In this article, you’ll learn how to:

In the VAR ecosystem, Renewal refers to the process of extending, maintenance contract to continue service coverage for hardware or software. This typically involves reviewing expiring contracts, create asset lists for customers to approve, prepare list of assets/services to be priced, and initiate quoting process for services like: Cisco SmartNet maintenance contracts Managed service subscriptions etc
The renewal process ensures uninterrupted service, and allows for co-terming, identify potential product upgrades, or request for change in service levels. |
| Renewal Engineer (RE) | Processes subscription items for renewal after projects are assigned by the Renewal Manager. |
| Renewal Project | A group of Managed Subscriptions created in PrW to collectively track renewal activities for a customer. These projects are assigned to Renewal Engineers to execute. |

| True Forward | A Cisco billing policy that adjusts future subscription charges based on actual usage. If a True Forward event is approaching, REs must prepare renewal workloads accordingly. |

1. Understanding the Dashboard View
When you log into PrW as a Renewal Engineer, your dashboard shows data only for the renewal projects assigned to you.
Your dashboard includes:
- Subscription Expirations in the next 30/60/90 days
- True Forward events approaching for your assigned subscriptions
- Account-wise breakdown of expiring subscriptions
- Project Stage chart (Assigned, In Progress, Completed)
🛈 Note: The charts represent Managed Subscription Items, not projects themselves. These subscription items belong to the projects assigned to you.
2. Using 30/60/90- Days Renewal Charts
The Subscriptions Due for Renewal section provides three charts showing subscriptions expiring in 30, 60 and 90 days. Each chart is grouped by top customer accounts. Each slice represent an account and total combined value of all managed subscriptions due for renewal within these timeframes.
You can:
- Hover on a slice to view the account name and the number of expiring items.
- Identify urgent workloads (e.g., high-value customers expiring within 30 days).
- Quickly understand which accounts need immediate renewal preparation.
3. Understanding the True Forward Charts
This chart appears only for subscriptions (not for maintenance contracts).
It shows:
- Upcoming True Forward events within the next 30/60/90-day windows
- The accounts where increased usage may impact renewal value
- Subscription groups likely to require SKU adjustments before renewal
This helps REs plan for:
- Usage reconciliation
- Required SKU updates
4. Default Navigation from Dashboard
You can click:
- A chart slice → opens the Managed Subscription Console, filtered by account + timeframe
- A chart title → opens the console filtered only by timeframe
In the Console, you will see details such as account, vendor, subscription expiration date, next true forward date for true forward subscriptions etc.
Here you will prepare the subscription data for customer validation and vendor quote generation.
5. Filters to Focus on Priority Contracts
Dashboard filters help you focus your view by:
- Account
- Renewal window (e.g., next 45 days)
- Project stage
- Subscription type
Once filters are applied:
All charts update dynamically
Clicking on a chart slice or title sends you to a pre-filtered console view
Filters are especially useful for:
- Managing high workloads
- Focusing on large accounts
- Identifying upcoming deadlines
- Working through assigned projects in priority order
6. Other Insights from Dashboard
Beyond expirations and True Forward indicators, your dashboard also includes Project stage chart which shows how many of your assigned projects are in different stages of renewals.
