Introduction

Once a Renewal Project is created and assigned to a Renewal Engineer, the Renewal Manager continues to oversee the renewal lifecycle.
This stage allows managers to review active projects, monitor their progress, reassign users as needed, and ensure that the correct contracts are assigned to each project.

From this console, Renewal Managers can also drill into Internal Contract (IC) details and track progress through subsequent stages — including Asset Lists and Pricing Requests — without directly performing engineer-level actions.

In this article, you’ll learn how to:

  • Navigate and filter the Renewal Project Console
  • Understand grouping and hyperlinks for project insights
  • Take actions such as Re-Assign User, Add Internal Contracts to Renewal Project, and Track the progress of each stage, such as asset list and pricing request
  • Monitor progress across related consoles (IC, AL, PR)

In the previous video, you learned how Renewal Managers create and assign Renewal Projects to Renewal Engineers.
This video continues from there — showing how to review assigned projects and manage them efficiently.

Key Terms Used

Term Definition
Renewal

In the VAR ecosystem, Renewal refers to the process of extending maintenance contract to continue service coverage for hardware or software.

This typically involves reviewing expiring contracts, creating asset lists for customers to approve, preparing a list of assets/services to be priced, and initiating the quoting process for services like:

Cisco SmartNet maintenance contracts

Managed service subscriptions etc

 

The renewal process ensures uninterrupted service and allows for co-terminating, identifying potential product upgrades, or requesting a change in service levels.

Step- By- Step Process of Reviewing Renewals

Step 1: Navigating and Reviewing Renewal Project Console 

You can access the Renewal Project Console by clicking on the arrow beside the renewal project name within the Assign Contracts console. This will open the console containing only the specific renewal project details. Alternatively, click on the Renewal Project tab in the Tabs section to land on the console, which contains all the renewal projects under the accounts due for renewal.

Overview of the Renewal Project Console

The Renewal Project Console gives you a single view of every active renewal project you can act on.

  1. Tabs section — Switch between related consoles; the Renewal Projects tab is active.
  2. Server filters — Narrow the list before it loads. Here the filters are applied on Account, Stage, Assignee (visible directly on the console), and Renewal Project, and Internal Contract (you can add these using the plus button next to it)
  3. Grouped records —The renewal projects are grouped to keep related work together. The projects are grouped under Stage and Assignee fields.
     
  4. Key columns —The information about Renewal Project such as Account Name, Project Name, Expiration Date, Number of Assets, Assignee, Number of Items in different stages etc.
  5. Column filters — Click the funnel icon on a column header (for example, Renewal Date or Number of Assets) to focus on projects due soon or with large asset volumes.
  6. Hyperlinks— Each Renewal Project Name and IC number are hyperlinked to their detail page for quick access to project-level information.
  7. View controls — Use the Refresh button to reload the grid, pagination to control the number of records in a page.

Sorting, column filtering, and record loading behave the same as on other PrW grids — see Data Grid Capabilities for details.


Step 2. Add Internal Contracts to Renewal Project

Use this action to add other Internal Contracts (ICs) that are due for renewal in the same account to an existing renewal project.

  1. In the Renewal Projects grid, find the renewal project you want to add contracts to. Click the gear icon (⚙) beside the renewal project and select Add IC to RP.
  2. In the Choose Account dialog, select the account from the dropdown and click Confirm.
  3. The Assign Internal Contracts panel opens, listing the ICs due for renewal for that account. Select the contracts you want to add.
  4. Click Assign to RP button as seen in above screenshot. A success message confirms the contracts have been added.
  5. To verify, open the renewal project's detail page and select the Contracts tab. The added contracts appear in the Internal Contracts related list.

Step 3. Reassigning Renewal Project to Different User

If a Renewal Project needs to be reassigned:

  1. Select the project row.
  2. Choose Reassign User from the actions menu.
  3. Select the appropriate user from the dropdown to assign the project to a different Renewal Engineer. Click on Assign button.
  4. As the project gets assigned to different renewal engineer, you see a success message displayed.

This helps balance workload and ensures no renewal deadlines are missed.


Step 4. Taking Actions Based on Renewal Status

Projects move through different stages like Assigned, In Progress, or Completed.
The individual internal contract and items further move through different stages in renewal journey.
As a Renewal Manager, you can:

  • Review project and contract data.
  • Oversee approvals or request modifications before projects progress further.
  • Ensure timely action by engineers on contracts close to expiration.
  • View individual contract details and the items under a specific contract in the IC Console. Further, you can check the progress through Asset List and Pricing request consoles to review where we stand in renewal process.

Also note that the key navigation points in console are as follows:

  • Project Name → Opens project details page.
  • IC hyperlink → Opens the IC detail page.
  • Arrow beside IC → Opens IC Console filtered for that IC.

The Renewal Manager can oversee progress across:

  • IC Console – review contracts
  • Asset List Console – monitor asset grouping
  • Pricing Requests – track quote preparation

While these actions are primarily handled by Renewal Engineers, managers have oversight and can intervene if required
