Introduction

Once quotes are created or available in the system, the next step is to manage their active or inactive status using the Search Quote page in the PqW console.

The Search Quote page allows users to quickly review multiple quotes and update their status without opening each quote individually. This helps keep working lists clean, ensures only relevant quotes remain active, and maintains historical records for reference.

This article explains:

  • How to navigate and use the Search Quote page
  • How to identify whether a quote is Active or Inactive
  • How to activate or deactivate quotes directly from the grid
  • What happens after updating a quote’s status

This article focuses only on activating and deactivating quotes from the Search Quote page.

Prerequiste

Make sure:

  • You can access the Search Quote and Quote Items console/tab in PqW.
  • You have permissions to edit quote status (if you don’t see the actions described below, your admin may have restricted them).
  • You know your organization’s basic policy for:
  • Which quotes should be kept Active (for example, current working or open quotes), and
  • When quotes should be Deactivated (for example, superseded, lost, or obsolete versions).

If you are unsure, check with your sales operations or PqW administrator.


Understanding Active vs. Inactive Quotes

In PqW:

  • Active quotes are treated as current – they typically appear in default searches, dashboards, and downstream processes.
  • Inactive quotes remain in the system for reference or audit, but are not meant for day‑to‑day work and may be excluded from some default lists or reports (depending on your org’s configuration).

Being able to change this state directly from the Search Quote page helps you quickly clean up or curate lists without opening each quote.


Step By Step Procedure

Step 1 – Open the Search Quote Page

In Salesforce, open the StrataVAR PqW app.

  • From the app launcher (9‑dots), open Search Quote and Quote Items (or your org’s equivalent console).
  • Click the Search Quote tab (if there is a separate Search Quote Items tab, make sure you are on Search Quote).

You should now see:

  • A set of filters at the top (Account, Opportunity/Project, Status, totals, etc.).
  • A grid listing quotes that match the current filters.

Step 2 – Find the Quote(s) You Want to Update

Use the Account and Opportunity/Project filters to narrow down results.

Optionally refine by:

  • Quote Status
  • Total Extended List Price, Total VAR Cost, Total Customer Price
  • Click Apply (or the grid’s equivalent filter button) to refresh the list.
  • Check that the quote(s) you want to activate or deactivate are visible in the grid.

Step 3 – Check the Current Active/Inactive State

Depending on your configuration, you will typically see one of the following:

  • A dedicated Active column (for example, a checkbox or flag), or
  • A column such as Status that, together with an Active flag, indicates whether the quote is considered active.

Review the row to confirm:

  • Whether the quote is currently Active (flag checked / “Active” value), or
  • Already Inactive.

This helps you avoid accidentally deactivating a quote that is already inactive or vice versa.


Step 4 – Deactivate a Quote from the Search Quote Page

Use this when a quote should no longer be treated as current but you still want to keep it in the system for reference.

In the Search Quote grid, locate the quote you want to deactivate. In the row actions area:

Either:

  • Click an actions icon (for example, three dots or a button in an “Actions” column), and choose Deactivate Quote, or
  • If your org uses inline editing, uncheck the Active flag in that row.

Confirm the change if a confirmation dialog appears. After saving:

  • The quote’s Active flag will be cleared (or similar), and
  • It may stop appearing in default “Active‑only” searches and dashboards, depending on your filters and org rules.

If your grid is configured to show only active quotes, the row may disappear from the grid immediately after deactivation because it no longer matches the filter.

 

Step 5 – Activate a Quote from the Search Quote Page

Use this when a quote should be re‑considered as current (for example, you need to re‑open a previously deactivated quote or restore visibility).

In Search Quote, adjust filters if needed so that Inactive or All quotes are visible:

  • For example, set the Status filter or any custom “Active/Inactive” filter to include inactive quotes.
  • Locate the quote you want to activate. In the row actions, either:
    • Click the actions icon and choose Activate Quote, or
    • Check the Active flag in that row if inline toggle is available.
    • Confirm the change if prompted.

After saving:

The quote is marked as Active and will start appearing in views and reports that include active quotes.


When to Activate and Deactivate

Use Deactivate when:

  • A quote has been superseded by a newer version.
  • The opportunity is lost or the quote is no longer relevant.
  • You want to keep history, but remove noise from active lists.

Use Activate when:

  • You need to revisit or revive a previously deactivated quote.
  • A quote was deactivated by mistake and you want to restore it to normal use.
  • Align these choices with your team’s standard process so that reports and dashboards remain consistent.

Conclusion

Activating and deactivating quotes directly from the Search Quote page lets you manage quote lifecycle status in bulk and at speed, without opening each quote record. By using the filters to find the right quotes and toggling their Active state in the grid, you can keep your working lists clean while preserving full quote history in the system.
