Introduction

In this article, you will learn how to view live distributor pricing and inventory availability for selected quote items—compare results across suppliers in a single grid, and view history without triggering a new lookup.

With the Price and Availability feature, you can:

  • Select one or more Quote Items (SKUs/Part Numbers) in PqW
  • Query live pricing and inventory availability from supported distributors (for example Ingram Micro and TD SYNNEX)
  • Compare multiple suppliers side-by-side in an enhanced multi-level grid
  • View warehouse-level details (location, in-stock quantity, lead time)
  • Review Price & Availability History (previous results) without running a new lookup

Why Price and Availability is Used and Where it Fits in PqW

Distributor pricing and stock levels change frequently, so before you finalize a quote you need to confirm that each item is actually available and at what cost. Price and Availability pulls live distributor data directly into PqW, so you can compare sourcing options across distributors, set accurate margins, and commit to a quote without leaving your quoting workflow to log in to separate distributor portals.

This step fits into the pricing and sourcing stage of the quoting workflow: after you have assembled your quote items, and before you finalize supplier selection and export the quote.


Prerequisite

Make sure:

  • Your org has at least one API Profile enabled for Price & Availability
  • You have access to a PqW Quote with Quote Items that contain valid Part Numbers / SKUs
  • Your org is configured for the suppliers you need (your admin may restrict which suppliers are available)

Note: Supported distributors depend on your org configuration. The comparison grid currently supports Ingram Micro and TD SYNNEX, up to a maximum of three providers.

 

Steps for Price and Availability Comparison

Step 1 — Select the Quote Items You Want to Check

  1. Open your PqW Quote.
  2. Go to the Quote Items Actions tab (or the area where Quote Item actions are available).
  3. Select the line item(s) you want to check for price and availability (one or multiple items).

Step 2 — Open Price and Availability

  1. From the actions menu (often the 9-dots / quick actions menu), click Price and Availability.
  2. A Suppliers selection window opens.

Step 3 — Choose Supplier(s) and Run the Lookup

  1. In the Suppliers selection window, select one or more suppliers (for example Ingram Micro, TD SYNNEX) and click Continue to proceed.
  2. PqW requests live data and display results in the Price and Availability grid.

After you run the lookup

What happens next depends on how many items you selected:

  • For a small selection, results populate the Price and Availability grid right away.
  • For a large selection, the lookup runs in the background. You'll receive a notification or an email when it completes, and the results will then be available in the grid. (This depends on your org settings.)

Once results appear, review them in the grid as seen in step 4.

If your quote contains many items, the lookup may run in the background. In that case, you’ll receive a notification/email when the processing completes. (This depends on org settings.)

 

Step 4 — Review Results in the Price and Availability Grid

The grid is designed to help you compare results across suppliers without leaving your quoting workflow.

Compare multiple suppliers

  • Each selected distributor returns its own set of columns, shown side by side for direct comparison(currently for Ingram Micro and TD SYNNEX).
  • This is especially useful when the same SKU is available from more than one distributor.

How duplicate part numbers are shown

If the same part number appears multiple times in your selected items, the grid can aggregate duplicated part numbers and show:

  • One consolidated pricing row
  • Quantities contributed by multiple suppliers, where applicable
  • This reduces noise and makes comparisons easier.

View warehouse details (hover tooltip)

When availability is shown as a quantity, hover over it to view warehouse-level information such as: Warehouse location, In-stock quantity or Lead time.

Note: The Price and Availability grid is read-only but supports the standard grid controls — Column Filters, Global Search, Refresh (check the Last Refresh Date for data recency),Pagination etc. For details, see the Data Grid Capabilities articles.

 

Step 5 — View Price and Availability History

To review previous results without re-querying suppliers:

  1. Open the same Quote Items Action menu. 
  2. Click P&A History button.

This shows the stored price & availability results from earlier lookups, so you can reference what was returned previously without generating new external requests.


Limitations

Supplier data format differences: Supplier responses can differ (example: Ingram returns JSON; TD SYNNEX returns XML). PqW normalizes this for display, but fields may still vary by supplier.

  • TD SYNNEX manufacturer name issue (known limitation): TD SYNNEX may return a manufacturer number instead of a readable manufacturer name. If this happens, the grid may display the number as an interim value until a mapping solution is available.
  • Tooltip appearance: Tooltip styling can vary by browser/system settings; only limited visual customization may be available.

Troubleshooting

I don’t see the Price and Availability action

  • Confirm you are on the correct page (Quote Items action area).
  • Ask your admin to confirm you have an API Profile configured for Price & Availability.

A supplier shows “Found” but some columns are blank

  • This can happen if the supplier response is missing specific fields (for example vendor/manufacturer name formatting issues).
  • If it’s consistently missing for TD SYNNEX, it may relate to the manufacturer number vs name limitation noted above.

No results returned

  • Verify the Part Number/SKU is correct.
  • Try running the lookup for a single item first.
  • If it still fails, contact support with the quote number and selected suppliers.

Summary

Using Price and Availability in PqW, you can check live pricing, inventory, and lead times for selected quote items across one or more distributors (for example, Ingram Micro and TD SYNNEX)—all without leaving your quoting workflow. The comparison grid helps you quickly validate sourcing options, and Price & Availability History lets you revisit earlier results without triggering new supplier lookups.

As a final check after each lookup, confirm:

  • The correct supplier(s) were selected,
  • The returned in-stock quantities and lead times support the customer request, and
  • The quote item list is accurate (especially when the same part number appears multiple times).
