Introduction

During the quoting process, it is common to revise quotes, respond to customer feedback, or explore alternate scenarios. To support these workflows, PqW provides two distinct actions:

  • Create New Version
  • Save As New

Although both actions copy quote data, they serve very different purposes and are used at different stages of the customer conversation.

Where These Actions Fit in the PqW Workflow

Both Create New Version and Save As New are available in existing Quote details, after a quote has already been created.

They are typically used:

  • After a quote has been assembled and reviewed
  • Before or after sharing the quote with a customer
  • When changes are required without losing existing work

These actions help manage revisions and alternatives without rebuilding quotes from scratch.


How to Access Versioning Options

In Quote details, both actions are available from the Quote Actions menu.

  • Open a quote in Edit Quote
  • Navigate to the quote header area at the top of the screen
  • Click the Actions / More Options (dropdown) menu

From this menu, you can access:

  • Create New Version
  • Save As New Quote

Create New Version of a Quote

What Create New Version Does

The Create New Version action is used when minor or iterative changes are required for the same customer and same deal.

When you create a new version:

  • A new quote version is generated (for example, Version 2)
  • All configurations from the previous version are copied
  • The earlier version becomes read-only
  • Only the latest version is editable

This ensures clean version tracking while allowing controlled revisions.

How Version Control Works in Edit Quote

Version 1 becomes read-only and Version 2 becomes the active editable version. If needed, you can restore an earlier version.

Restoring a version automatically disables newer versions. This behavior ensures that only one version is active at a time.

When to Use Create New Version

Use Create New Version when:

  • The customer requests small or incremental changes
  • Pricing, quantities, or terms need adjustment
  • The quote remains tied to the same opportunity
  • You want to maintain a clear revision history

Example Scenarios

Example 1: Price Revision
A quote is shared with the customer.
The customer requests a minor discount.
→ Create Version 2, update pricing, and resend.

Example 2: Term Adjustment
The customer wants to change a subscription term.
→ Create a new version and modify only the term.

Example 3: Reverting Changes
The customer prefers the earlier quote.
→ Restore Version 1, which disables Version 2.


Create a New Version -Step By Step Process

Use these steps when you want to revise the same quote.

  • Open the Quote details page for the required quote
  • Go to the quote header area and click the Actions / More Options (dropdown) menu
  • Select Create New Version

Result:

  • A new version of the quote is created
  • The previous version becomes read-only
  • The new version can be opened in Edit Quote mode and is ready for changes

How to Restore a Previous Quote Version

If you need to revert to an earlier version:

  • Open the earlier quote version
  • Select Restore Quote
  • Confirm the restore action

Result:

  • The restored version becomes active and editable
  • The newer version is automatically disabled

Save As New Quote

What Save As New Does

The Save As New option creates a completely independent quote using the current quote as a starting point.

When you use Save As New:

  • A new quote record is created
  • All quote data is copied
  • The new quote has no version linkage to the original

This allows parallel quote creation without impacting existing quotes.

When to Use Save As New

Use Save As New when:

  • Creating alternative quote scenarios
  • Proposing multiple solutions to a customer
  • Reusing a quote as a template
  • Working with a different opportunity or customer

Example 1: Alternative Solution
You want to offer two solution options.
→ Save the original quote and use Save As New to create an alternative.

Example 2: Pricing Experimentation
You want to test a different pricing structure.
→ Use Save As New without affecting the original quote.

Example 3: Template Reuse
A similar customer needs a similar setup.
→ Save As New and adjust as needed.


How to Save a Quote as New

Use these steps when you want to create an independent copy of a quote.

  • In the Quote Details Page, click on dropdown menu and select Save as New Quote option

Result:

  • A new quote is created with the same details
  • The new quote has no version link to the original
  • Both quotes can be edited independently
