Introduction 

StrataVAR Partner Quoting Workspace (PqW) supports decimal quantities for certain item types such as services, subscriptions, partial licenses, or usage‑based items.

This article explains when and how decimal quantities can be used in PqW, how they affect pricing and totals, and what to check when configuring item types to allow decimal values.

Why This Is Needed & Where It Fits in the User Journey

Not all items fit neatly into whole‑unit quantities. Examples include:

• Services purchased in fractions of an hour or day
• Subscriptions sold in partial terms (for example, 0.5 year)
• Usage‑based or capacity‑based items (for example, 1.5 TB, 2.75 units)

Supporting decimal quantities allows users to:

• Quote more accurately for partial or prorated services
• Align deal structure with vendor or distributor BoMs that use decimal quantities
• Avoid workarounds such as manual price overrides or additional lines

Decimal quantity usage typically appears:

• After importing a BoM or adding items to a quote
• When adjusting quantities for specific service or capacity items
• Before finalising pricing and sending the quote to the customer

When to Use Decimal Quantities

Use decimal quantities when the vendor, distributor, or your internal pricing policy defines quantities that are not whole numbers

Item types represent:

• Time‑based services (for example, 0.25 day, 0.5 hour)
• Capacity or volume (for example, 1.5 TB, 2.3 units of resource)
• Prorated subscriptions or partial periods

Do not use decimal quantities when the item must be purchased in whole units only (for example, hardware devices, per‑unit licenses that cannot be split)

The vendor or distributor system rejects non‑integer quantities for that SKU

Prerequisites

Before using decimal quantities, ensure that:

• The item type (or product category) is configured to allow decimal quantities according to your organisation’s rules
• Your quote layout or BoM layout has Quantity displayed as a numeric field that supports decimals
• You have permission to:
  • Edit quantities on BoM items and quote items
  • Save quotes with updated quantities

How Decimal Quantities Work in PqW

When decimal quantities are allowed for an item, you can enter non‑integer values in the Quantity field (for example, 0.5, 1.25, 2.75)

PqW calculates pricing as:

• Extended List Price = List Unit Price × Quantity
• Extended Net / Cost / Sell = Unit value × Quantity

Margin and totals follow from these extended values, just like with whole‑unit quantities.

If an item type is configured for whole units only, PqW may:

• Prevent entry of decimals, or
• Automatically round to the nearest allowed value, depending on configuration

Decimal quantities are only allowed when:

Your admin has enabled fractional quantity support in the global PqW configuration, and

The item’s Item Type is one of the types that your organisation (and PqW) has approved for non‑integer quantities (typically things like Professional Services and Managed Services).

For all other item types, quantities must be whole numbers. If you try to enter a decimal quantity for an unsupported item type, PqW will block the change and show an error that Non Integer values are not allowed for Item type.

Step-by-Step: Using Decimal Quantities for Item Types

Step 1: Add or Import Items into a BoM or Quote

• Log in to your Salesforce/PqW environment.
• Navigate to the relevant Opportunity / Quote.

• Add items via:
  • BoM import (from Cisco, distributors, or files), or
  • Manual addition of items on the quote.

• Create the quote for imported BoM and follow the process of adding BoM/BoM items to quote.

At this stage, items are created with default quantities as mentioned in the imported BoM - API/File. 

Step 2: Confirm the Item Type Allows Decimal Quantities

For each item where you expect to use decimals:

• Identify the Item Type or Category (for example, Service, Subscription, Usage).
• Confirm with your admin or reference your internal item type matrix to ensure that decimal quantities are allowed for that item type
• The required decimal precision is supported (for example, 1 decimal place, 2 decimal places)

If decimals are not allowed for that item type, you may need to:

• Use whole units only, or
• Ask an admin to review whether that type can be enabled for decimals. This is typically done in Custom Metadata Types tab inside Setup. This change can be performed only by Admin users.

Step 3: Edit the Quantity with a Decimal Value

On the BoM or Edit quote grid:

• Locate the item line you want to adjust and Click into the Quantity field.

• Enter the desired decimal value, for example- 3.5 – half unit and click on enter to save. 

PqW recalculates:

• Extended prices and costs
• Margin % for that line
• Overall quote totals, including tax/fees where applicable

Similarly you can modify quantity for other items or you can use bulk editing mode to change the quantities of multiple quote items simultaneously.

Step 4: Review Pricing and Totals

After entering a decimal quantity, verify:

• Unit Price remains as expected
• Extended Price / Extended Cost reflects Unit × Quantity correctly
• Margin % is still appropriate for the deal

For service or capacity items, confirm that:

• The decimal quantity matches the intended units (for example, 0.5 = half day, 0.25 = quarter of capacity unit)
• There is no mismatch between what PqW shows and the underlying vendor/distributor quote

Step 5: Save and Use Decimal Quantities in the Final Quote

Once you’re satisfied with the decimal quantities and pricing:

• Save the BoM or quote.
• Proceed with: Internal review/approval steps and generating customer‑facing documents or proposals

Decimal quantities will be reflected in:

• Line item details
• Totals and summary sections
• Any integrated downstream processes that read the quote values

What Happens After Using Decimal Quantities

Once decimal quantities are saved, PqW continues to treat those values like any other quantity. They are included in rollups, totals, and margin calculations.

If the item is updated later (for example, through a BoM re‑import or a pricing refresh), you may need to reconfirm the decimal quantity, especially if the upstream system uses whole units.

In some integrations, distributors or vendors might:

• Round decimal quantities to allowed increments, or
• Reject updates that use decimals for products that require whole units.

Check your integration behaviour if you see discrepancies between PqW and external systems.

Common Checks When Working with Decimal Quantities

It is recommended to:

• Confirm that decimal quantities are permitted for the specific SKU or item type
• Ensure the meaning of the decimal is understood (for example, 0.5 = half day, 0.1 = 10% of capacity unit)
• Review extended prices and margins after changing quantities
• Validate that downstream systems (for example, ordering, ERP) accept the same decimal logic

Any discrepancies between PqW and vendor/distributor values should be corrected before finalising the quote.
